Secretary to Assistant Superintendent
JOB DESCRIPTION: This person is the Administrative Assistant to the Assistant Superintendent and as such assists the Assistant Superintendent implement the goals of the School District, the Curriculum, and the Pupil Services Departments. This person acts on behalf of the Assistant Superintendent to gather information, respond to inquiries and prepare documents as needed. This Secretary coordinates the work of the Assistant Superintendent’s Office regarding Board Policies and Strategic Planning. This Secretary may have access to confidential information regarding staff selection, staff discipline, staff evaluation and strategies used in contract negotiations.
Essential Job Functions
- Maintains a schedule of appointments and makes arrangements for conferences, meetings, interviews as requested by the Assistant Superintendent.
- Organizes materials/documents needed for meetings or hearings.
- Relieves Assistant Superintendent of clerical duties so that he/she can focus on the planning and implementation of programs to meet district and student needs.
- Assists Assistant Superintendent in budget preparation and monitoring expenses to stay within the budget.
- Processes purchase orders as needed.
- Organizes and assigns work to department staff under the direction of the Assistant Superintendent to achieve departmental goals.
- Obtains, gathers, organizes and analyzes pertinent data as needed and puts data in a useable form.
- Uses a variety of resources to gather information to respond to questions as needed.
- Organizes and maintains a filing system; files correspondence and other records.
- Answers and screens the Assistant Superintendent’s telephone calls; arranges conference calls.
- Responds to requests for information, questions, concerns and complaints of parents, students, staff members, visitors, administrators, and members of the community. Such interactions will be professional, respectful, and helpful while at the same time guarding confidential information. This Secretary is expected to determine what he/she can resolve on behalf of the Assistant Superintendent and what needs to be referred to the Assistant Superintendent or someone else.
- Assist with collection of data for preparation for negotiations.
- Assume other related responsibilities that may be assigned by the Assistant Superintendent.
TERMS OF EMPLOYMENT: 12 month, Act 93 Position
Qualifications
- High school diploma or GED, required; Bachelor’s Degree desired; five or more years related experience and/or training; or equivalent combination of education and experience.
- Demonstrates ability to compose clear, concise and professional correspondence using proper format, grammar, and spelling.
- Demonstrates ability to do mathematical computations; is able to create and interpret graphs and charts.
- Expert knowledge of Microsoft Office: Outlook, Word, Excel, PowerPoint software required.
- Is able to use the Internet to retrieve information or do research.
- Working knowledge of PowerSchool and Performance Tracker or a data management platform, is desirable.
- Strong interpersonal skills; ability to organize the work of others.
